Policies & Procedures

At Dance Innovations, our policies are designed to keep communication clear, classes running smoothly, and every dancer’s experience positive, safe, and consistent. By enrolling in classes, families agree to follow the policies and procedures below.

Tuition & Billing

Dance Innovations operates on a full-season schedule from August through June. Tuition is calculated based on 35 class weeks and divided into 10 equal monthly payments for the convenience of our families. Monthly tuition payments are charged July through April. Access 2026-2027 tuition rates here.

Tuition is charged on the 25th of the previous month using the payment method on file. For example, March tuition is charged on February 25. All families are required to keep a valid credit card, debit card, or ACH/bank account on file for tuition and studio-related charges.

Tuition is based on enrollment, not attendance. Families are responsible for tuition whether or not a student attends class, until Dance Innovations receives proper written notice of withdrawal. Tuition is not prorated for pre-planned studio closures, scheduled holidays, student absences, vacations, or partial months.

A $20 fee may be assessed for insufficient funds, returned payments, declined payments, or late payments made after the 5th of the month. Accounts must remain current for students to participate in classes, performances, private lessons, events, competitions, or other studio activities.

Anniversary Fee

An annual anniversary fee of $60 per dancer is charged on the anniversary of the dancer’s initial registration date. This fee helps cover administrative costs, account maintenance, software and processing systems, and ongoing studio support.

The anniversary fee is non-refundable and is charged once per year for each actively enrolled dancer.

Withdrawing From a Class

Families wishing to withdraw from a class must submit a written drop request through the parent portal. Verbal notice to a teacher, front desk staff member, or another student does not serve as official notice of withdrawal.

A minimum of 14 days’ written notice is required to withdraw from a class and stop future billing. Students may continue attending class through their effective withdrawal date. Refunds are not given for partial months.

Because tuition is charged on the 25th of the previous month, families who submit a drop request after the 20th of the month may still be charged for the following month’s tuition. In that case, the family remains responsible for the payment, and the student may continue attending class through the paid enrollment period.

Families are responsible for tuition and fees until an official drop request has been received and processed. Failure to attend class does not cancel enrollment, stop billing, or remove the student from the class roster.

Removing a payment method, revoking payment authorization, or disputing a charge does not serve as written notice to withdraw and does not eliminate responsibility for amounts owed under Dance Innovations policies.

Makeup Policy

We ask that families notify the studio in advance of an absence whenever possible.

Makeup classes are available for preschool, primary, academy, and open classes within the same season, where space permits. Students may make up a missed class in another section of the same class if available, or may be approved to make up in one level below their current level.

Makeup classes must be scheduled or approved by Dance Innovations in advance. Makeups are a courtesy and are not guaranteed.

Makeups are not permitted for Company rehearsals, competition team rehearsals, specialty choreography, private lessons, semi-private lessons, events, workshops, camps, or other limited-capacity programs unless specifically approved by Dance Innovations.

Missed classes do not result in prorated tuition, refunds, account credits, or reduced monthly payments. Families are not eligible for a credit or refund if they are unable to schedule or use available makeup classes. Makeup classes may not be transferred to another student, used as payment for other services, or carried over into a future season.

Studio Closures

Dance Innovations primarily follows the Westfield-Washington School District calendar for major breaks. Scheduled studio closures are listed on the studio calendar and communicated through studio emails and/or other official communication channels.

Tuition is calculated with pre-planned closures already taken into account, so tuition is not prorated and makeup classes are not required for scheduled breaks, holidays, or planned studio closures.

In the event of weather-related or emergency closures, Dance Innovations may offer a virtual class, makeup option, alternate class opportunity, or other reasonable adjustment at the discretion of the directors.

Waiver Requirement

Each class participant must have a completed waiver on file before participating in classes, private lessons, events, performances, or other studio activities. Students without a completed waiver on file will not be permitted to participate.

Dress Code

Dance Innovations maintains a separate dress code policy by class style and level. Families are responsible for reviewing and following the dress code for each dancer’s enrolled classes.

Dancers should arrive prepared for class with the appropriate attire, shoes, and hairstyle. Dress code expectations help our instructors give safe and effective corrections and help students participate fully in class.

Arrival & Pickup

Students should arrive approximately 5 minutes before their scheduled class time. Please do not drop students off significantly earlier unless they are enrolled in another supervised class, rehearsal, private lesson, event, or approved activity.

Students should wait inside the building before and after class. Young dancers should be escorted into and out of the building by an adult. Students should not run through the parking lot or enter or exit the building without appropriate supervision.

Parents and guardians are expected to pick up students promptly at the end of class. If you know you will be late, please contact the studio as soon as possible. Repeated late pickup may result in additional fees or may affect continued enrollment.

During busy arrival and dismissal times, families should drive slowly and use extra caution in the parking lot. Our students include young children, and safety is a shared responsibility.

Class Etiquette & Student Expectations

Dance Innovations students are expected to conduct themselves with dignity, humility, kindness, and respect at all times.

Students are expected to arrive on time and ready for class, show respect for instructors and classmates, wait until invited into the studio, ask permission to join class if arriving late, listen while instructors are teaching, give their best effort, and treat the studio space with care.

Students are also encouraged to practice gratitude and accountability by thanking their teachers, receiving corrections respectfully, and working to apply feedback in class.

Dance Innovations reserves the right to address behavior that is disruptive, unsafe, disrespectful, or inconsistent with the culture of the studio. Continued behavior concerns may result in parent communication, removal from class for the day, a required parent meeting, class transfer, suspension, or dismissal from the program.

Parent & Guardian Conduct

Dance Innovations is committed to maintaining a positive, respectful, and safe environment for students, families, faculty, and staff. Parents and guardians are expected to communicate respectfully with instructors, staff, students, and other families.

Concerns should be brought directly to the front desk or directors rather than discussed with other families, students, or instructors during class time. Dance Innovations welcomes questions and concerns, but all communication must remain respectful, appropriate, and solution-focused.

Dance Innovations reserves the right to limit participation, communication access, lobby access, or future enrollment in situations involving harassment, threatening behavior, repeated disrespect, inappropriate language, intimidation, gossip that disrupts the studio environment, or conduct that interferes with the safety, trust, and well-being of the studio community.

Class Placement, Scheduling & Staffing

Dance Innovations reserves the right to determine appropriate class placement based on age, experience, technical readiness, maturity, safety, and instructor recommendation. Class placements are made with the student’s long-term growth and success in mind.

Dance Innovations also reserves the right to combine, cancel, reschedule, or adjust classes due to enrollment, staffing, facility needs, weather, scheduling conflicts, or other circumstances. Instructor assignments are subject to change.

If Dance Innovations cancels a class due to low enrollment, families will be offered available transfer options when possible.

Private Lessons

Private and semi-private lessons are booked directly with the instructor and may be held virtually or in person at the studio. In-person private lessons must be scheduled around existing group classes and studio availability.

Private lessons outside of recurring Company private lessons are charged for the preceding month on the 25th. For example, March tuition and February private lessons will both be charged on February 25.

Private lesson cancellation, reschedule, payment, and attendance expectations may be outlined in a separate private lesson policy.

Performances

Dance Innovations presents two main productions each year: a winter production and a spring recital. Performances give dancers the opportunity to build confidence, gain stage experience, and share their progress with family and friends.

Performance participation is encouraged but not required unless otherwise stated for a specific program or team.

Performance registration deadlines are firm. Late registrations may not be accepted because staff must have time to complete choreography, staging, formations, costume planning, and administrative preparation.

Performance fees, costume fees, rental fees, and ticketing information will be communicated before each production. Performance fees help cover expenses such as facility rental, technical support, production needs, administrative support, and other event-related costs. Costume and performance-related fees are non-refundable once paid, except at the discretion of Dance Innovations.

Dancers who are not participating in a performance may still learn choreography in class as part of their ongoing training and will continue to be included in class activities.

Communication

Families are responsible for reading studio emails, portal notices, newsletters, Band app posts when applicable, and other official communications from Dance Innovations. Important dates, deadlines, closures, dress codes, performance details, and policy reminders are communicated through these channels.

Failure to read studio communication does not remove responsibility for deadlines, payments, rehearsals, required items, or other studio expectations.

Health, Safety & Participation

Students should not attend class when they are ill, contagious, feverish, vomiting, or otherwise unable to participate safely. Dance Innovations may ask a student to sit out or be picked up if they appear ill or unable to safely participate.

Students with injuries, medical restrictions, or other concerns that may affect participation should notify the studio before class. Dance Innovations may require written clearance from a medical professional before allowing a student to return to full participation after an injury or medical concern.

Extended illness or injury situations may be reviewed by the directors. Credits or adjustments may be offered at the discretion of Dance Innovations and may require medical documentation.

Personal Belongings

Students are responsible for their personal belongings. Dance Innovations is not responsible for lost, stolen, misplaced, or damaged items, including dancewear, shoes, bags, water bottles, jewelry, electronics, costumes, or other personal property.

Families are encouraged to label all items with the student’s name.

Agreement

By completing registration, saving a payment method, enrolling in classes, or participating in Dance Innovations programs, families acknowledge that they have read, understand, and agree to follow Dance Innovations policies, procedures, billing policies, withdrawal procedures, and studio expectations.
